Tuition and fees paid by bank or card in your school software

Let families pay tuition with ACH bank payments and fees by card inside your school, childcare or class software. BrainMerchant processes card and ACH payments for software platforms.

What families pay

Payments schools and programs collect

Payment processing for education software covers more than tuition. School management software payments range from bank debits on a schedule to fees that need an answer the moment a family pays.

Tuition installments

Monthly or term payments, often the same amount on set dates. ACH fits well, because one authorization can cover the whole plan.

Enrollment and registration fees

One-time fees paid when a family signs up or re-enrolls. Card gives an approval right away; ACH suits families who would rather pay from their bank account.

Weekly childcare fees

A regular amount for care, due every week. Childcare tuition by ACH fits a fixed weekly schedule; card works for families who would rather pay each week themselves.

Activities, trips and camps

Smaller charges with a sign-up deadline. Card usually fits, because the family gets an approval or a decline before you confirm the spot.

Lessons and after‑school programs

Per-lesson or per-term charges for music, sports, tutoring and clubs. Card fits paying lesson by lesson; ACH fits a term split into installments.

Deposits to hold a place

A deposit that secures a seat for next term or next summer. Card gives an approval before you hold the place. An ACH debit can still be returned after it settles, so decide up front what happens to the place if it comes back.

Recurring tuition

Tuition plans by ACH

Tuition payment processing by ACH starts with a standing arrangement: the family agrees to the plan, and your software sets the date of each debit. PPD (Prearranged Payment and Deposit) is the Nacha code for recurring consumer debits under a standing arrangement, but how the family gives the authorization also matters, so confirm the code with your provider.

  • Get the authorization first, signed or similarly authenticated, with a copy for the family. See ACH authorization requirements.
  • Give notice when the amount changes. Regulation E requires written notice of the amount and date at least 10 days before the debit.
  • Check the account before the first debit. Required for debits a family authorizes online; a zero-dollar prenote is one way.
  • Know which returns you can retry. Retry R01 and R09 at most twice within 180 days; an unauthorized return only after a new authorization.

Card vs ACH

Card or bank for school payments

Card gives an approval or a decline when the family pays; an ACH debit settles between banks afterward and can still come back as a return. The rows below compare the payments families make most often.

On card payments: as of October 2026, federal law (the Electronic Fund Transfer Act, as amended by Dodd-Frank) bars card networks from stopping a merchant from setting a minimum of up to $10 for credit card purchases, or from offering a clearly disclosed discount that does not differ by issuer or network for paying by cash, check, debit card or credit card. It protects discounts, not surcharges; this is not legal advice.

How ACH payments move money between bank accounts

Schools are a special payment vertical; childcare is not

As of October 2026, Visa and Mastercard both exempt the school and education merchant category codes (MCCs) from their payment facilitator sub-merchant volume thresholds. Outside them, a sub-merchant above $1 million in annual Visa volume, or above $10 million in combined Mastercard and Maestro volume, generally needs a direct agreement with the acquirer.

  • Exempt: MCCs 8211–8299
  • Not exempt: 8351 child care, 7032 camps, 8021 dental, 0742 veterinary

The exemption follows each merchant’s category code, not the kind of program it runs, which matters if your platform is weighing the payment facilitator model. Our guide to payment facilitator, ISO and partner models compares the ways platforms offer payments.

FAQ

Questions about payment processing for education software

Short answers for teams building school, childcare and class software. For the bank side in more depth, see ACH payment processing for software platforms.

Can tuition be debited on a monthly schedule?

The ACH rules allow recurring debits with a signed or similarly authenticated authorization and a copy for the payer. For a monthly or term tuition plan, one authorization from the family can cover every installment, and your software sets the date of each debit. To see how scheduled payments would work with BrainMerchant, talk to us.

What happens when a tuition payment is returned?

It depends on the return code. A debit returned R01 (insufficient funds) or R09 (uncollected funds) may be retried at most twice within 180 days of the original settlement date, with RETRY PYMT in the Company Entry Description and the same company name, company ID and amount. A debit returned as unauthorized, such as R07 or R10, cannot be retried until the family gives a new authorization. The ACH return codes guide explains each code.

When does a tuition debit settle?

Under Nacha rules an ACH debit settles between banks the next banking day, or the same day if it is sent as Same Day ACH. Credits can be dated up to two banking days out. When your customers receive the funds depends on their provider’s funding schedule, and returns can still arrive afterwards. We don’t publish timing here; tell us what your flows need.

Can parents pay fees by card?

Card payments follow the card network rules. The family gets an approval or a decline when it pays, which suits one-time fees such as registration, a trip or a deposit, and it can dispute a charge later: with Visa, generally within 120 days. BrainMerchant processes card and ACH payments for software platforms, so your software can offer both. See credit card processing for software platforms.
